Asset register: tagging, service clocks & financials
Register every piece of kit with its value, service interval, meter and warranty — then tag it so anyone can scan it.
The Assets page is the register of everything you maintain — plant, boilers, lifts, panels, vehicles. Each asset carries:
- Details — category, make/model/serial, where it sits (property + location), condition, status and criticality (critical kit gets louder reminders and higher-priority jobs).
- Financials (admins only) — purchase cost, CAPEX/OPEX, straight-line depreciation with useful life and salvage value → live book value, replacement cost and an expected end-of-life. The Capital plan tab turns this into a year-by-year replacement forecast, grouped by property.
- Service & meter — a service interval in days (90 = quarterly), last/next service dates, how many days before to remind, and an optional auto-raise job switch. Add a meter (run-hours, kWh, km…) with a "service every N units" rule for usage-based servicing.
- Tag & links — type or scan an existing barcode / QR / NFC code so the kit's current label works in the app, and set a parent asset to build a hierarchy (AHU → fans → motors).
Logging work
Log service / Add reading on the asset page. A service or inspection entry resets the service clock (next due = date + interval), a condition entry updates the register, and a reading lower than the last one is rejected unless you tick meter reset/replaced. Completing a job linked to the asset (pick the asset in the New Job dialog) writes the entry automatically.
Reminders
An hourly sweep pings admins when a service is due soon or overdue, when a meter crosses its service point, and 30 days before (and on) warranty expiry. With auto-raise on, a Planned service job is created on the due date — once per due date. Everything shows on the Due for service tab.
Documents
O&M manuals, commissioning sheets and warranty certificates live on the asset's Documents tab (they're folders in the File Hub under Assets).
